How To Create a Quote

Quotes in Indio let staff hold reservations so guests can book now, pay later. It saves guest and site details without finalizing, offering flexibility. Quotes become reservations when guests confirm and pay. Follow these steps to create a quote.

 

 

  1. Navigating to Creating a Quote
    1. Login
      Use your credentials to access the dashboard.



    2. Navigate to the Front Desk
      From the main menu, click on Front Desk.


    3. Access the Reservations Tab
      Use the List View, Chart View, or Map View to locate the guest’s reservation.




    4. Select New Quote
      1. Click the Create New button.



      2. Select Quote from the three options.



  2. Inputting Quote Information
    1. Add Guest Information
      1. Enter the guest’s name and any additional information (e.g. contact information).



      2. If the guest already exists, use the search bar to locate and select their profile.
    2. Specify Stay Details
      1. Input the arrival and departure dates.



      2. Indicate the number of guests and any special accommodations.



    3. Select a Site
      1. Search for site availability. Use filters (date range, site type, etc.) to find an appropriate site.



      2. Click on desired site to assign it to the quote. 
    4. Select Rate
      1. Select the correct rate type.



      2. Confirm Total Reservation Cost


      3. No payment will be taken for a quote.
    5. Save Quote
      1. Click Save



  3. Converting a Quote to a Reservation
    1. Locate and Open the Quote
      1. Your quote will show up in your Reservation Tab in a teal blue color (in List, Chart, and Map view.)



      2. Click the relevant Quote to open the Reservation Drawer.


    2. Convert to Reservation
      1. Confirm details of the reservation. Add any needed information.
      2. Click the three dots in the top right corner and click Reserve. This turns the quote into a reservation and takes it to the Unconfirmed status.





      3. If you can now confirm the reservation, again, click the three dots in the top right corner and choose Confirm.



      4. Your Quote will now be a confirmed reservation in your Reservations tab.  
  4. Troubleshooting Common Issues
    1. Site Not Available

      Ensure that the site is not already booked or on hold for the selected dates.

    2. Quote Not Converting
      Check if there are any outstanding issues, such as incomplete guest information or site conflicts.
    3. Incorrect Charges
      Review pricing and manually adjust charges if needed before saving the quote.
