How to Check in and Check Out a Guest

This article provides step-by-step instructions for checking in and checking out guests using the Indio platform. Follow these steps to ensure a smooth process for both staff and guests.


  1. Navigating to the Guest Check-In and Check-Out Section
    1. Login
      Use your credentials to access the dashboard.



    2. Navigate to the Front Desk
      From the main menu, click on Front Desk.



    3. Access the Reservations Tab
      Use the List View, Chart View, or Map View to locate the guest’s reservation.



  2. Checking In a Guest
    1. Locate the Reservation
      Use filters (e.g. Arriving Today) or search for the guest’s name or reservation number.



    2. Open the Reservation Drawer
      Click the guest’s name or confirmation number to view the reservation details.



    3. Verify the Reservation Details
      Confirm the assigned site, arrival date, and any special instructions.
    4. Check the Guest in
      1. Click Check-In in the action menu





      2. Update any necessary details, such as vehicle information or payment.
    5. Confirm Check-In
      Once all information is verified, click Check-In.


  3. Checking Out a Guest
    1. Locate the Reservation
      Navigate to Departing filter or search for the guest’s name.



    2. Open the Reservation Drawer
      Click the guest’s name or confirmation number to view the details.



    3. Review Outstanding Balances
      Ensure all charges are paid and address any pending issues.
    4. Check the Guest Out
      1. Click Check Out in the action menu.



      2. Confirm details and the final Check Out


    5. Update Site Status
      The system will mark the site as available for the next booking.
  4. Best Practices for Check-In and Check-Out
    1. Confirm Payment Details

      Always ensure outstanding balances are settled before checkout.

    2. Verify Reservation Modifications
      If any adjustments (e.g. date changes) were made, ensure that they are accurately reflected in the system.
  5. Troubleshooting Common Issues
    1. Reservation Not Found
      1. Ensure you are searching under the correct date range.
      2. Check for typos in the guest’s name or confirmation number.
    2. Check-In or Check-Out Button Not Visible

      Verify the reservation status to ensure it matches the appropriate action.



    3. Outstanding Payments

      Use the Billing Tab to resolve any pending charges before completing the check-out process.
